Allow listing process

Before an AI tool can be used within UU education, an allowlisting process must take place.

What is allowlisting?

As a university, we place great importance to scientific integrity and information security. Before we can allow the use of an AI tool within the university, we therefore want to know exactly what happens to the data entered into the tool. This allows us to guarantee the security of your data and that of the university. We call this process allow listing

AI tools work differently from regular software. That is why the current processes for checking software are not suitable for AI tools. AI Veritas was developed to solve this problem. 

AI Veritas

AI Veritas is a process that checks various aspects of an AI tool. It consists of a  that can be completed in about 30 minutes. Email the completed document to aionderwijs@uu.nl to submit your application.

After completion, a specialised team will perform a number of checks. The tool will then be:

  • Approved;
  • Approved with conditions; or
  • Disapproved.

A few points to note:

  • The application can only be submitted by teachers or educational support staff.
  • Complete the questionnaire well in advance if you wish to use the tool in a course.
  • The applicant will be notified of the outcome once the allowlisting process has been completed.
  • AI Veritas focuses exclusively on narrow purpose AI. This concerns AI tools that focus on only one task. For example: tools for creating knowledge clips, learning materials or presentations.
  • AI Veritas is therefore not intended to request permission for general purpose AI such as ChatGPT, Gemini or Claude. We are working on a safe AI alternative that will be available soon.
  • Requests for AI tools for quantitative assessment (automatic grading) will not be approved.
  • The costs associated with the use of the relevant AI tool (after approval) must be paid by the relevant user (faculty). In most cases, this can be purchased directly from the supplier with a WBS number.

Conditions of use

Once the application has been approved, the AI tool may be used in accordance with the terms and conditions and the information on the basis of which approval was granted (e.g. the number of users).

The use of AI tools is always subject to the standard UU AI terms of use for teachers and educational support staff and/or the UU AI terms of use for students
