MyPhD

At the start of your PhD journey, you must register in MyPhD, the official tracking system of Utrecht ľ¹Ï¸£ÀûÓ°ÊÓ. It is important to register as soon as possible, but at least 3 months after the start of your PhD. Also, you must be registered at least 3 years before the end of your PhD in order to graduate. This applies to all PhD candidate categories. MyPhD records all formal stages of your PhD in line with the rules of the Board for the Conferral of Doctoral Degrees. See the MyPhD  for more information.

Documents needed for registration

When registering in MyPhD, you need the following:

  • An electronic copy of your most relevant diploma, including the institution name, degree type, diploma type, and diploma date. A Dutch Master’s degree or its equivalent is required for admission. For questions about the validity of foreign or other diplomas, please contact your MyPhD faculty contact (see below) who receive advice from the Admissions Office.
  • The working title of your doctoral thesis, which can be adjusted at any time.
  • Information about your supervisory team. MyPhD auto-fills details for Utrecht ľ¹Ï¸£ÀûÓ°ÊÓ supervisors. For external supervisors, enter full name, initials, title, institution name, institution address, and email.
  • Information about your mentor(s). GSLS PhD candidates must have one or two mentors. MyPhD auto-fills details for Utrecht ľ¹Ï¸£ÀûÓ°ÊÓ mentors. For external mentors, enter full name, initials, title, institution name, institution address, and email.
  • The PhD programme you will join. In MyPhD, select the Graduate School of Life Sciences and one of the 15 GSLS PhD programmes you will join (field 'PhD program').

Remember to upload your Training and Supervision Agreement

The Training and Supervision Agreement (TSA) is a standard contract between the PhD candidate and the supervisory team. The completed TSA must be uploaded to MyPhD within three months of starting your PhD.

Deregister when you don’t complete your PhD

If you and your supervisory team decide not to complete your PhD and end early, make sure to deregister in MyPhD. You or your promotor must notify the relevant contact by email:

  • For the Faculties of Medicine and Veterinary Medicine: the MyPhD faculty contact
  • For the Faculty of Science: the Head of Department and Administrative Secretariat

The email should include the reason for your withdrawal and must CC all members of your supervisory team and the PhD candidate. The request will then be forwarded to your Faculty Dean for approval. Once approved, the Board for the Conferral of Doctoral Degrees will officially stop your PhD track.
